Team & Studio Assistant

As our Team & Studio Assistant, you will play a crucial role in our operations. Your proactive and solution-oriented approach will be instrumental in supporting our project teams daily, working closely with the management, and representing hy.am studios in the best possible way to customers, service providers, and guests. Your contributions will directly impact the success of our projects and the overall reputation of our company.

YOUR RESPONSIBILITIES

Assistance to the management (35%):

You provide the management with time to work on client projects and the development of our studio by maintaining our schedules, supporting us in operational and administrative tasks, and taking over some projects.


You will support the management in the following tasks:

  • General administrative, organisational and assistance tasks
  • Research for internal and private projects (e.g., scouting of real estate projects)
  • Creation of decision templates
  • The realisation of internal projects/tasks (e.g., Team Off-Site)
  • Appointment and travel coordination, including preparation and follow-up
  • Travel expense reporting
  • Support the management in the area of hiring, especially in the coordination and organisation of interviews and meetings

Studio Management (60%):

You are responsible for the studio's smooth and effective operation. We aim to create a space that inspires our employees to produce highly creative work and represents our brand identity. 

  • You will be responsible for handling all daily inbound requests and recurring studio management tasks, such as demand planning, procurement of office supplies, and catering for the team.
  • You will support studio management's operational and administrative tasks in close cooperation with the management.
  • You are the team's go-to contact person for all things related to the studio. You prepare client appointments and welcome guests, customers, and suppliers.
  • You support the project teams in organisational and administrative tasks for client projects, including preparing external workshops and meetings.

Finance & Reporting (5%):

  • You work directly with our Head of Operations to take care of the preparatory accounting (obtaining receipts and invoices).

PROFILE

  • A registered student based in, or >1 hr commuting distance from, Berlin
  • A proactive, service-focused problem solver with excellent communication skills
  • Collaborative working in a fast-paced environment is great fun for you
  • A keen interest in all things culture, from design, film, art, and architecture to music and art
  • You are fluent in German and English
  • Available to start ASAP
