Studio & Team Assistant

Role

In this varied position, you will be responsible for various administrative tasks. With your proactive and solution-oriented approach, you will support our project teams daily, work closely with the management, and represent hy.am studios in the best possible way to customers, service providers, and guests.

Your Responsibilities / Things you will be doing

Assistance to the management (35%)

You provide the management with time to work on client projects and the development of our studio by maintaining our schedules, supporting us in operational and administrative tasks, and taking over more minor projects.

You will support the management in the following tasks:

A

General administrative, organizational and assistance tasks

B

Research for internal and private projects (e.g., scouting of real estate projects)

C

Creation of decision templates

D

Realization of internal projects/tasks (e.g., Team Off-Site)

E

Appointment and travel coordination, including preparation and follow-up

F

Travel expense reporting

G

Support of the management in the area of HR recruitment, especially in the coordination and organization of interviews and meetings

Studio Management (60%)

You are responsible for the studio operating smoothly and with high effectiveness. The goal is to create a space that inspires our employees to produce highly creative work and represents our brand identity. 

A

You will be responsible for handling all daily inbound requests and taking care of all recurring studio management tasks, such as demand planning, procurement of office supplies, and catering for the team.

B

In close cooperation with the management, you will provide support in operational and administrative tasks in the areas of studio management.

C

You are the go-to contact person for the team for all things related to the studio; you prepare client appointments and welcome guests, customers, and suppliers.

D

You support the project teams in organizational and administrative tasks for client projects, including preparing external workshops and meetings.

Finance & Reporting (5%)

A

You take care of the preparatory accounting (obtaining receipts and invoices) in direct coordination with our Head of Operations. 

Who you are

A

A registered student, based in, or >1 hr  commuting distance from, Berlin

B

A proactive, service focussed problem solver with excellent communication skills 

C

Collaborative working in a fast-paced environment are great fun for you

D

Keen interest in all things culture, from design, art, and architecture, to music and art 

E

Fluent in German and English 

F

Starting date: ASAP
